Operations, fleet & projects

For operations where the assets matter as much as the customers.

Plant, fleet, stock and projects tracked alongside the commercial side rather than in a separate system. Built for engineering, drilling, plant hire and field services, where a CRM on its own has never been enough.

Running in a live UK drilling operation.

The problem

The CRM knows the customer. Nothing knows the asset.

Assets tracked in spreadsheets

Where each rig or vehicle is, and what state it is in, lives in a file that is always slightly out of date.

Stock and jobs disconnected

Parts consumed on a job are reconciled afterwards, if at all.

Purchasing is reactive

Reorder happens when someone notices a shelf is empty rather than when stock crosses a threshold.

No single operational view

Commercial, project and asset information sit in three places, so nobody sees the whole picture.

What the system does

Commercial, project and asset in one operational picture.

The quote, the job, the equipment sent to it and the parts consumed on it, held together.

Fleet & assets

Where everything is, what condition it is in, and what it is committed to.

  • Asset and equipment register
  • Location and allocation
  • On project, in transit, maintenance
  • Service and inspection schedules
  • Utilisation reporting
  • Hire and availability

Stock & spares

What you hold, where, and when to order more.

  • Multi-warehouse stock
  • Spare parts catalogue
  • Stock movements and entries
  • Low stock and reorder alerts
  • Item pricing
  • Stock valuation

Purchasing

Procurement connected to the demand that caused it.

  • Suppliers and terms
  • Purchase orders
  • Material requests from jobs
  • Goods receipts
  • Purchase invoices
  • Approval workflow

Projects & field ops

The work itself, resourced and tracked to completion.

  • Project records and phases
  • Resource and equipment allocation
  • Field team scheduling
  • Progress and updates
  • Documents and sign-off
  • Client portal access

The workflow

From opportunity to completed project.

01

Opportunity

Commercial pipeline, quotations and customer records.

02

Resourcing

Equipment and teams allocated against the job, with availability visible.

03

Mobilisation

Assets moved, transit tracked, materials requested.

04

Delivery

Field progress, updates and consumption recorded against the project.

05

Replenishment

Stock drawn down triggers reorder before it becomes a problem.

06

Completion

Sign-off, documentation and invoicing from the same record.

Built to order

Built on what already works

For asset-heavy operations we build on proven open-source ERP foundations and extend them, rather than rebuilding stock control and purchasing from nothing. You get mature, tested core functionality plus the parts that are specific to how you work.

  • Proven core for stock, purchasing and inventory
  • Bespoke modules for the parts that are specific to your operation
  • One system rather than an ERP bolted to a separate CRM
  • We own the integration, so it is supported as one thing
  • Scoped and priced before any work begins

Why this way

Rebuilding warehouse management from scratch would cost you money for no advantage. Building the parts nobody else has is where bespoke actually earns its keep.

Pricing for operations

Quoted after discovery.

Deployment size varies enormously between an operation with seven assets and one with seventy, so a headline price would be meaningless. We scope it properly and fix the figure before you commit to anything.

Common questions

What operations teams ask us.

Why is this one quoted rather than priced?

Because the range is too wide for a headline figure to be honest. A single-site operation and a multi-depot one are different builds, and quoting a low number then revising it upward is exactly the behaviour we are trying to avoid.

Can it handle multiple sites or companies?

Yes. Multi-site and multi-company are part of this plan rather than an add-on.

Do we get a client portal?

Yes, where it is useful. Clients can see project progress and documents without anyone emailing an update.

Can it connect to our accounting system?

Yes. Xero, QuickBooks and Sage are supported, and supported connector installation is included with your SmartCo licence.

How long does implementation take?

Agreed at scoping. Asset-heavy deployments take longer than a CRM because the data migration is bigger, and we would rather tell you that up front.

Tell us what you run and where it is.

A scoping conversation about your assets, sites and projects, and a fixed figure before anyone commits.
